Privacy Policy

This Privacy Policy describes how Neatfile ("we", "us") collects, uses, and safeguards personal information in connection with the transaction coordination, closing, and administrative services we provide to US real estate agents and brokerages.

Neatfile is a trade name of J. Blignaut, an independent sole proprietor based in Benoni, Gauteng, Republic of South Africa. For the purposes of applicable data protection laws, Neatfile acts as a data processor on behalf of the engaging brokerage or agent (the "Client"), who acts as the data controller for their clients' and transaction data.

Because Neatfile operates from South Africa while serving US-based Clients, personal data may be transferred internationally between the United States and South Africa. Both jurisdictions have established data protection frameworks, and we apply commercially reasonable safeguards consistent with the higher standard between the two applicable regimes.

Neatfile operates in compliance with the Protection of Personal Information Act 4 of 2013 (POPIA) of the Republic of South Africa. Where US data protection laws impose stricter obligations on information we process, we apply those higher standards to the relevant information.

We implement reasonable technical and organizational measures to protect the information we handle, including encryption in transit and at rest, access controls, and regular review of our security practices. No system can be guaranteed to be fully secure; we cannot absolutely ensure the security of information transmitted to us.

Transaction data is retained only as long as reasonably necessary to deliver the Services and address any post-closing queries, typically not more than 90 days after file closure. Billing and accounting records are retained as required by South African tax and commercial law, typically for 5 years.

We may update this Privacy Policy from time to time. The most current version is always available at neatfile.co. Material changes will be communicated to active Clients by email.
